How to Import / Edit locations in bulk

The location importer is an internal tool that Zenput uses to import or change customer locations in bulk. In order to accomplish this a .CSV template is utilized that follows a consistent structure so that data is not overwritten and duplicate locations are not created.

 

There are a couple unique reasons why you may want to utilize the bulk importer:

  • Adding a list of 10+ locations
  • Changing the information of locations that exist in your account in bulk (email, phone number, name of location, or tags associated with a location)
  • Adding owners multiple locations at once
  • Removing a list of locations from your account at once

In order to do this we separate location information into different columns. Below you will find the title that needs to be in the top of each column in their exact order required for upload.

  • Name (Required)
    • The exact name the location will be called in Zenput
  • Address (Required)
    • The street address of the location in Zenput, This is ONLY the street address, do not include city, state, zip. (EX. 123 example st.)
  • City (Required)
    • The city the location is in
  • State (Required)
    • The state the location is in (can also be the region if no state exists i.e locations outside of U.S.)
  • Country (Required)
  • Zip (Required)
    • Zip or postal code of location
  • Email (Not Required)
    • Email address of the location, usefull if you want to send completed submissions to a location directly
  • Phone (Not Required)
    • Phone number of location
  • Owner~(Role of owner) (Not Required)
    • The email of the person attached to the location that is responsible for managing the location, This person could be someone like the GM of the location. The role of the owner must also be attached in the header (EX. Owner~General Manager) The role you are assigning to the owner must already be created in your account.     • If the user already exists in your zenput account, they will be attached to location as the owner, If the user does not already exist in your Zenput account an invitation will be sent to the email entered and a user will be created in Zenput.
  • Permission (Only required if an owner is being attached to location)
  • External Key (IMPORTANT(Required)
    • Every location must include an external key that is unique. This can be any combination of numbers of letters that you prefer, however each individual location MUST have a unique key. This is how we overwrite existing locations with new information, if we upload a list of locations with the same external key as a location that already exists in your account it will overwrite the previous location and all data from the past will be attributed to the newly uploaded location. If you want to make sure that the external key you are using are unique from other locations in your account, simply go to (https://www.zenput.com/locations/) and hit the "export" button in the top right of the screen, you will be emailed a list of your locations that will show you all location external keys.
  • Active (Not Required)
    • If you want to deactivate a current list of your locations add this column. The options for this column are (blank=no change; 0=deactivate; 1=activate) Only use if you want to deactivate a list of your existing locations
  • Lat (Not Required)
    • Latitude of the location
    • NOTE: IF LAT AND LON ARE PRESENT, address, city state, country and zip are no longer required.
  • Lon (Not Required)
    • Longitude of the location
    • NOTE: IF LAT AND LON ARE PRESENT, address, city state, country and zip are no longer required.
  • Tag(s) (Not Required)
    • You can have as many or as few tags as you want, all tags must be in a separate column with the headers tag1, tag2, tag3 and so on.
  • Tag Action (Required when tags are present)
    • Update - Adds tags to the locations existing set of tags, does not overwrite the tags that may already be associated with an existing location / Creates Tags for a NEW location
    • Replace - Removes existing tags from an existing location and replaces with what is being uploaded
    • Delete - Deletes the tag you are uploading from the existing location
    • The action we need to perform with the tag.
